Overview

Vestrel Inc. (“we”) operates Pluriplex, a property-management platform for independent landlords in Québec and across Canada. This policy describes the personal information we collect, how we use it, and the rights you have.

It applies to the Pluriplex application (web and mobile) and to https://pluriplex.ca. By using our services, you agree to the practices described here.

Information we collect

We collect the following information to provide our services:

  • Account information: name, email address, phone number and sign-in credentials.
  • Property data: buildings, units, leases, rents and payment history.
  • Tenant information: contact details and lease-related information, entered by the landlord or provided by the tenant through their portal.
  • Financial information: rent-collection and bookkeeping transactions. Payments are processed by specialized providers; we do not store your full banking credentials.
  • Documents: leases, notices and other documents, including electronic signatures.
  • Communications: emails, text messages and support requests exchanged with us or through the platform.
  • Technical data: usage logs, device type and IP address, for security and diagnostics.

How we use your information

We use this information to:

  • provide and operate the platform: property management, rent collection, bookkeeping, reports and tax documents;
  • send notices and reminders related to your leases and payments;
  • respond to your support requests;
  • keep the platform secure and prevent fraud;
  • meet our legal obligations, including tax obligations.

We never sell your personal information, and we do not use it for targeted advertising.

Consent

We collect your information with your consent, or where collection is necessary to perform our contract with you. You may withdraw your consent at any time, subject to applicable legal or contractual restrictions; withdrawing it may however limit our ability to provide the services.

Tenant information

Landlords who enter information about their tenants remain responsible for its accuracy and for the legal basis of its collection. We process that information on the landlord’s behalf, solely to provide the services.

If you are a tenant, you may exercise your rights by contacting your landlord or by reaching us directly at [email protected].

Sharing your information

We share your information only with the categories of providers needed to deliver the services:

  • payment processing (e.g. Interac transfer);
  • cloud hosting of our servers and data;
  • transactional email and text-message delivery;
  • electronic document signing;
  • professional advisors (legal, accounting) where required.

These providers are bound by agreements that limit the use of your information to the intended purposes. We may also disclose information where a law or court order requires it. A list of our providers is available on request.

Hosting and transfers

Our data is hosted with a leading cloud provider. Some providers may process information outside Québec or Canada; where that happens, we assess the protection offered in accordance with Law 25 and govern those transfers by contract.

Retention

We keep your information for as long as your account is active, then for the period required to meet our legal obligations. Financial and tax records may be retained for up to seven years in line with Canada Revenue Agency and Revenu Québec requirements. When retention is no longer required, information is securely deleted or anonymized.

Security

We protect your information with recognized measures: encryption in transit and at rest, strict access controls, isolation of each organization’s data, and access logging. No system is completely immune, however; if a confidentiality incident presents a risk of serious injury, we will notify you as the law requires.

Your rights

Subject to exceptions provided by law, you may:

  • access the personal information we hold about you;
  • have inaccurate or incomplete information corrected;
  • request deletion of your information;
  • receive your information in a structured technological format (portability);
  • withdraw your consent.

To exercise these rights, write to us at [email protected]. You may also file a complaint with the Commission d’accès à l’information du Québec or the Office of the Privacy Commissioner of Canada.

Cookies and similar technologies

Our public site uses no tracking cookies and no advertising analytics. The application uses only what is essential to your session, such as authentication and your preferences. We use no advertising cookies.

Minors

Our services are intended for adults. We do not knowingly collect personal information from minors under 14 without the consent of the holder of parental authority.

Changes to this policy

We may update this policy from time to time. The current version is always published at https://pluriplex.ca/privacy, with its update date. If a change is significant, we will notify you through the platform or by email.
